Client Spotlight: Rabbit Hole VR - Photo and Video Project

When Jennifer Poythress from Rabbit Hole VR reached out to us with her vision for their showcase at Andretti’s Indoor Karting, we knew this was going to be fun, there was great energy on the initial phone call. Rabbit Hole VR, a leading VR systems integrator, specializes in helping Family Entertainment Centers (FECs) and arcades create and operate profitable virtual reality attractions. They were showcasing some really cool things in conjunction with the IAPPA Conference that comes to Orlando every year. It’s for attractions industry professionals showing off all their latest gadgets. For this special evening of networking and VR demos, they needed event photography and videography to capture the energy, excitement, and connections made throughout the night. They even had some fancy giveaways. 

Jennifer’s request was focused: “We’re hosting a showcase of virtual reality attractions with our partners. We’d like a mix of posed photos, candid networking shots, and players fully immersed in VR headsets. Capturing moments that highlight our partnerships and the unique VR experience is essential.” And with that information, we started capturing. We captured interviews with both of the company owners. 

To bring Jennifer’s vision to life, we delivered event photography, videography, same day social media reel ready for instagram and same day images incase she wanted to share those on another social platform. 

For photography we captured both the posed and candid moments that showcased Rabbit Hole VR’s partnerships and technology.

The video had a special challenge, create a “about us” style video at an event showcasing their work. This isn’t always easy when you’re not at the companies home offices. But with some clever planning, editing and interviewing we made it work! The social media reel we created the same day of the event was perfect for creating buzz while the event was still happening. Lastly, providing same day social media images, ensuring Rabbit Hole VR could share polished, professional photos with their audience and sponsors in real time. We texted over some of our favorites from the event straight to Jennifer’s phone so she didn’t have to wait. 

The event was packed full of cool technologies and games. From players exploring virtual worlds in headsets to dynamic conversations between industry folks, the evening was a a nod to Rabbit Hole VR’s commitment to innovation and collaboration. 

Highlights of the night included some networking action and interviews with Jennifer and her business partner, Mitchell, engaging with attendees and partners. Immersive VR Moments with guests diving into demo games while we captured their reactions and the state-of-the-art arena barrier systems Rabbit Hole VR offers. Partnership Spotlights special focus on their collaboration with HTC and other sponsors. 

When you’re looking for photography for your event, think about capturing video at the same time. The great part about doing this is you’re gathering so much content at one event that you can use over and over in future marketing aspects - even hype the next event! Jennifer also shared how our work will continue to help them grow as a company: “Our main goal was to capture moments from our event that show the breadth of our company’s partnerships and skills. Virtual reality is such a visual experience, and photos and videos are the best option to convey what the experience is like without people actually playing themselves. We plan to share the photos on LinkedIn, our website’s blog, and with our sponsors for their marketing needs.”

When asked about challenges during the shoot, Jennifer’s only feedback was, “There were not enough of me!” It’s always hard coordinating an event and enjoying the event at the same time! Capturing so many elements in a bustling event is no small feat, but Jennifer’s trust in our “just do your thing” approach allowed us to capture authentic moments—including some exciting prize giveaways—without missing a beat.

The final video and photos received rave reviews from Jennifer and her team. After seeing the edited video, she exclaimed, “I love it!!!” Knowing our work will help grow Rabbit Hole VR’s social channels, website, and sponsor platforms is the ultimate reward for us. We really enjoy helping businesses show off what they offer.
